Education:              G.E.D/High School Diploma
 
Work Experience:     
Previous clerical and customer service experience.
 
Partial Summary and Essential Job Duties and Responsibilities:
Under general supervision of the Clinic Managers, handle clerical phases of the operations system, including, but not limited to typing, phones filing, faxing, copying, computer entry and general office functions. Also to include client intake, tracking, billing, and scheduling.
 
A.      Be active, working Front Office Receptionistas part of daily job duties.
 
B.       Greets all Clients in a respectful, pleasant manner. Sign clients in daily, and answers telephone.
 
C.       Responsible for maintaining accurate charts and filing systems. Files charts in a timely fashion (daily)
 
D.      Responsible for tracking of all clients incoming on daily basis. (Membership ID cards)
 
E.       Take and verify payments of all incoming clients.
 
F.       Follows all procedures associated with intake of new clients ( to include obtaining client information, verifying and apply appropriate charges, credit client to appropriate coordinator/trainer, completion of appropriate documents and obtaining appropriate signatures) and entering client data into computer.
 
G.       Logs all new clients onto Monthly Client Logs for tracking purposes.
 
H.      Schedules appointments; prepares charts and schedules for the following day
 
I.         Collects payments and ensures all client payments are recorded precisely and accordingly in receipt book. Balances receipt book at the end of each day and closes out book at end of each week (Friday).
 
J.        Makes follow-up phone calls to clients who have cancelled without rescheduling within two days
 
K.      Monitors front office supplies and notifies Co-Managers of needs weekly.
 
L.       Prepares daily tracking logs and submits the week’s activity to Co-Managers each Friday
 
M.     Responsible for maintaining clean waiting area, file storage areas and front office /desk
 
N.      Performs duties as requested by CEO, Director, Managers and appropriate Coordinators and Specialists.
